When you’re ready to add additional franchisees to your Bookwhen franchise network, there are a few of methods to do this, depending on the situation of your franchisee.


Adding a new franchisee who does not have an existing Bookwhen via the co-brand sign-up page

This is if your franchisee has never used Bookwhen and signed up using the co-brand sign-up page.

  1. Ask your franchisee to create an account via your unique co-brand page. See more on co-brand sign-up pages here.

  2. The franchisee will then need to add Stripe via the payment settings section when logged in to Bookwhen.

  3. When your franchisee has confirmed Stripe has been added, you will need to send the account name of the franchisee to support@bookwhen.com and advise on the amount of commission you want to collect from the new franchise (% or £ amount).

  4. The Bookwhen team will manually create the connection, and you will be advised when this task has been completed.

  5. Once the link between the HQ and franchisee sub-account has been confirmed, your franchisee will need to re-authenticate stripe so that commission fees will be paid into your Stripe account.


Adding a new franchisee who does not have an existing Bookwhen account

This is if your franchisee has never used Bookwhen and did not sign up using the co-brand sign-up page.

If you choose not to use a co-brand sign-up page, you can still add a new franchisee by following these steps:

  1. Create a new paid Bookwhen account that will be used for the new franchisee. See our plans here.

  2. The franchisee will then need to add Stripe via the payment settings section when logged in to Bookwhen.

  3. When your franchisee has confirmed Stripe has been added, you will need to send the dashboard URL of the franchisee account to support@bookwhen.com and advise on the amount of commission you want to collect from the new franchise (% or £ amount).

  4. The Bookwhen team will manually create the connection, and you will be advised when this task has been completed.

  5. Once the link between the HQ and franchisee sub-account has been confirmed, your franchisee will need to re-authenticate stripe so that commission fees will be paid into your Stripe account.


Adding a new franchisee who has an existing Bookwhen account

This is if your franchisee already has a Bookwhen account.

While rare, in some cases, the franchisee you wish to add to your franchise network may already have an existing Bookwhen subscription linked to your HQ.

  1. Ensure that the franchisee is using Stripe as their payment gateway

  2. When your franchisee has confirmed Stripe has been added, you will need to send the dashboard URL of the franchisee account to support@bookwhen.com and advise on the amount of commission you want to collect from the new franchise (% or £ amount).

  3. The Bookwhen team will manually create the connection, and you will be advised when this task has been completed.

  4. Once the link between the HQ and franchisee sub-account has been confirmed, your franchisee will need to re-authenticate stripe so that commission fees will be paid into your Stripe account.


Additional notes to consider:

If your franchisee is using their pre-existing Bookwhen account and will be operating under your franchise name, you will need to consider getting their account name and schedule page updated to reflect this. While schedule pages can be done through the page set-up settings on the page itself, account name changes require development. Please contact the Bookwhen team if you need to do this.
