How to add an image to vouchers

Learn how to include images when creating or editing vouchers

Adding an image to your vouchers helps make them more visually engaging and easier for customers to recognise. Setting this up ensures your vouchers look consistent and professional when shared or redeemed.

This article explains how to add and manage images for vouchers in Bookwhen.


Voucher image

All vouchers have a pre-populated image. If you don't add your own image, customers will receive a standard voucher PDF:

Changing an image on an existing voucher

To add or change an image on an existing voucher:

  1. Select Packages & Discounts, then Vouchers from the left-hand menu on your account.

  2. Find your voucher and select View to open the settings.

  3. A preview of the image will appear in the overview under Voucher image. For example:

  4. Select Edit details and scroll down to the Voucher image section. Either Upload a new image or select an existing image from your Files library using the Select from library drop-down menu:

    • Voucher images display best in a landscape format (wider than tall) with roughly a 5:3 ratio for the best fit.

    • We recommend uploading a high-quality, HD image, for example, 1920x1080 pixels.

    • The image will automatically crop slightly to fit the voucher layout, so keep any important details (like text or logos) away from the edges.

    • We support files up to 10MB. Higher-resolution images resize automatically, so there’s no need to scale them down before uploading.

  5. Once uploaded, you may need to crop the image using our image resizing tool, then select Save:

  6. Finally, select the Update voucher button to save your changes.


Voucher images in PDFs

The image you choose for a voucher in Bookwhen appears exactly as shown in the PDF sent to customers. This ensures customers can clearly identify their voucher.

💡 Important:

  • Use the default voucher image or a standard image. Avoid transparent images, as these create blank spaces in the PDF.

  • The display image matches what customers receive, helping provide a clear and professional experience.

  • If the voucher is used in an iframe, the image will appear exactly as set, maintaining clarity for customers.

This setup ensures customers know what they are receiving and keeps your vouchers looking professional without extra manual adjustments.
