Pass tickets are a new ticket option availble to Standard plans and above in Bookwhen, giving you another way to manage how customers book your sessions.
They can be useful for separating different ticket options for the same session. For example, you might have a standard or drop-in ticket for customers booking individual sessions, alongside a pass ticket for customers whose pass includes the session.
⚠️ Important note: Pass tickets are being introduced in October 2026 and are currently available to selected Bookwhen accounts. If the Pass only option isn't available when creating a ticket, the feature hasn't been enabled on your account yet.
Pass tickets are free and can only be booked by customers with a pass that meets the required usage restrictions.
This article explains how to create pass tickets and how to update an existing pass to include them.
Creating a pass ticket
To create a pass ticket:
Open your Scheduling page.
Add a new entry, or select your existing entry, then Edit entry:
Select the Tickets & costs tab within your entry:
Select Create ticket:
Choose the Pass only ticket type under Pricing:
Fill in any additional information and settings.
Select Save ticket to save it to your entry.
Remember to select Save or Save & Exit to save the entry once completed.
💡 To note:
Pass tickets are always set as no-cost, so you can't set or change their price.
Customers can only book a pass ticket if they have a pass that meets the ticket's usage restrictions.
Updating an existing pass
If an existing pass uses a Paid ticket, you'll need to replace it with a Pass ticket.
To update an existing pass:
Make sure you have already created the pass ticket in the relevant entry/entries.
Select Packages & Discounts, then Passes from the left-hand admin menu.
Select View under the pass to open the settings:
Select Edit pass:
Review the usage restrictions. To ensure the pass can only be redeemed for pass tickets, select the bin icon 🗑️ next to remove any outdated restrictions:
Select Add usage restriction, then Ticket.
From the drop-down menu, select the pass ticket, then Add:
You'll need to repeat this process for each ticket type you'd like to add.
Once finished, select Save changes at the bottom of the page.
The new pass ticket will then be available to customers using that pass.
⚠️ Important note: You can't convert a free, no-cost, or pay-as-you-go paid ticket into a pass ticket. You'll need to create a new Pass ticket instead.
