How to get enhanced insights based on the currently available export options for bookings

We’ve created a Google Sheets workbook to help you explore insights from your bookings export. With just a few steps, you can analyse key metrics, including the total number and value of bookings, most active customers, bookings per customer, and annual or monthly trends.

Setting up your data

  1. Open this reporting document and select Make a copy.

  2. Select Bookings from the left-hand dashboard on your account and generate your search.

    • You can filter as needed using filters such as start and end dates (which apply to the event date, not the booking date), entry names, etc.

  3. Select the Options drop-down menu, then Export bookings (CSV) to export the report into a spreadsheet:

  4. Open the downloaded CSV file using your preferred spreadsheet software (such as Excel, Google Sheets, etc.). Then, select and copy the entire content.

    💡 Keyboard shortcuts to copy:

    1. Windows: Ctrl+A and Ctrl+C

    2. Mac: Cmd+A and Cmd+C

  5. Paste the copied content from your exported file to the previously opened workbook (step 1) on the first tab titled BOOKINGS IMPORT - paste details from export here:

Understanding the reporting workbook template

To help you maximise the value of the workbook and improve your reporting, we’ve included an overview of the key metrics found in each tab below:

Tab 1: Bookings Import - Paste details from the export here

This tab is where you add the data from your downloaded report, which powers the remaining tabs in the workbook.

Tab 2: Bookings in numbers

This tab contains booking-related stats such as the total number and value of bookings, including breakdowns, as well as the Top-10 bookers and bookings breakdown per schedule page.

You can use this to review:

  • Number of bookings and total bookings by payment type (online or offline).

  • Payment status (completed or outstanding).

  • A breakdown splits up the booking total by tickets, discounts, fees and tax (where applicable).

Current reporting maximum for the number of schedule pages: 100

Tab 3: Booker Insights

This tab provides customer-related statistics, organised by email address, including a detailed booking breakdown. Email addresses are listed alphabetically, with booking references displayed beneath the drop-down by booking date.

You can use this tab to review:

  • The number of bookings

  • Booking totals

  • Paid and outstanding amounts by booker email address.

  • View the booking references for a specific booker using the drop-down search menu under Bookings by booker email address.

    • Each reference has the booking date if paid in full, and a link to the booking on your admin page.

Once you have imported data (tab 1), some colour formatting will be applied automatically, as detailed below:

  • Yellow: highest booking numbers/totals.

  • Green: fully paid.

  • Red: outstanding payments, shaded by amount.

💡 The colour scale adapts to your data, ranging from light to dark, for minimum and maximum values.

Current reporting maximum for the number of booker email addresses: 1,000

Tab 4: Date Insights

This tab provides date-related insight, including breakdowns by years and months and a month-vs-month comparison. Years and months should be sorted from oldest/earliest to most recent.

You can use this to review:

  • The number of bookings.

  • The booking total per month and year.

  • An annual breakdown of monthly trends, such as comparisons with the previous year or any two selected months. For example, the same calendar month across different years.

Once you have imported data (tab 1), some colour formatting will be applied automatically, as detailed below:

​Imported data is automatically colour-coded:

  • Yellow: Highlights the maximum for Number of bookings (column C) and Booking total (column D).

  • Green: Indicates an increase in breakdowns and comparisons.

  • Red: Represents a decrease in breakdowns and comparisons.

  • Yellow: Shows no change in breakdowns and comparisons.

Current reporting maximum for the number of booking dates: 10,000


Important note

While we have tested these methods across various scenarios, we cannot guarantee the accuracy of the results in every spreadsheet. Limitations may arise depending on specific setups and settings.
