Bookwhen allows you to customise the fields in your event entries to collect the information you need. Understanding which fields are required and how to adjust others helps you streamline bookings and gather accurate details from attendees.
This article explains how to customise event entry fields and which fields must be completed.
How to customise fields in Bookwhen
Customising fields lets you tailor the booking form for each event. This is useful when certain fields, like Date of birth, aren’t relevant to all entries. Some fields, such as the event date, are mandatory and cannot be removed.
Customising fields for a specific entry
To remove or adjust a field for one entry without affecting others:
Go to your Scheduling page and select the entry you want to update.
Select Edit entry.
Open the Booking form tab and select Select & reorder fields.
In the Selected fields section, remove the field you want to exclude (for example, Date of birth).
Save the form, then Save & Exit to save the updated entry.
Changes will apply only to the selected entry and won’t affect other bookings.
Mandatory fields and non-dated items
Some fields, like the event date, are mandatory and cannot be removed.
For non-dated items, add a clear note in the ticket description to show that the purchase is not linked to a specific date.
Best practices for event entry setup
Tailor fields to the event: Include only fields relevant to each event to simplify booking.
Use clear descriptions: Provide guidance for mandatory fields that may not apply to all attendees.
Test your form: Preview the booking form to make sure it works smoothly for attendees.
Following these steps keeps your event entries clear, organised, and easy for attendees to complete.
