How to resolve capacity display issues in course entries

Capacity issues in course entries can lead to confusion for both you and your customers. This article explains how to resolve capacity display issues caused by duplicate, cancelled, or past dates in course entries.


Why capacity issues happen

Capacity may display incorrectly when:

This can result in:

  • Incorrect availability

  • Bookings appearing full when spaces remain

  • Pricing inconsistencies


1. Fixing duplicate or cancelled dates

To remove duplicate or cancelled dates:

  1. Open your Scheduling page and select the entry.

  2. Select Edit entry to open the entry settings.

  3. Go to the Dates & Times tab.

  4. Select the date you want to remove, then Remove this date/time from the schedule:

If bookings are affected:

  • Let bookers know about the change

  • Cancel and rebook affected bookings if needed to ensure accurate pricing


2. Fix issues caused by past dates

If past dates are affecting future availability, create a new entry for upcoming sessions:

  1. Unpublish the current entry to prevent new bookings.

  2. Duplicate the entry using the drop-down menu next to Edit entry:

  3. Make sure you leave the Include all Dates & Times checkbox unticked, then select Confirm:

  4. Select the duplicated entry in your scheduling list, then Edit entry to open the entry settings.

  5. Add all new dates to the course entry. If you accidentally ticked the Include all dates & times checkbox, you'll need to remove all past dates, so only upcoming sessions remain.

  6. Save your changes.

After you have amended your entry/entries, you can then:

  1. Manually rebook any relevant attendees onto the new entry.

  2. If your previous entry had a waiting list, let any relevant customers know that spaces may now be available.

  3. Update the original entry so it only includes past sessions for record-keeping.


Best practice for managing course entries

  • Keep past and future dates in separate entries

  • Remove unused or cancelled dates promptly

  • Review entries regularly to keep availability accurate

  • Communicate any changes clearly to bookers

Keeping entries clean and up to date helps ensure availability displays correctly and provides a smooth booking experience.
