How to create a drop-in ticket for a course

Learn how to let customers book individual dates within a course

Written by Anni

Drop-in tickets give customers the flexibility to attend individual sessions in a course, rather than booking the full course. This is useful when you offer sessions that customers can attend on a date-by-date basis.

This article explains how to set up a drop-in ticket for a course in Bookwhen.

Before you start

Make sure you’ve set up your course entry with multiple dates and times, and created a course ticket that covers all sessions.

Creating a drop-in ticket

  1. Open your Scheduling page.

  2. Select the course entry, then select Edit entry to open the settings:

Scheduling page with an arrow pointing at the 'Edit entry' button

  3. Open the Tickets & Costs tab.

  4. Select Create ticket:

Tickets and costs tab of the entry with an arrow pointing at the 'Create ticket' button

  5. Add a Name to your ticket, such as "Drop-in ticket".

  6. Add a Description if you need to explain what the ticket includes.

  7. Set the Pricing and Availability for the ticket.

  8. Make sure the ticket type is set to Single ticket so customers can book individual dates:

Ticket setup with an arrow pointing at the 'Single ticket' option under 'Ticket type'

  9. Select Save ticket.

  10. Select Save or Save & Exit to save your changes to the entry.

How drop-in tickets work

Once you’ve added a drop-in ticket, your course dates will appear individually on your public booking page and in your Scheduling page.

Customers can then choose a specific date and book the drop-in ticket, or select the course ticket to book all dates in the course.

💡 To note:

  • A drop-in ticket covers only the individual date the customer books. They’ll receive a booking confirmation and any enabled reminder emails for that session only.

  • A drop-in booking doesn’t automatically convert into a course booking. If a customer decides to join the rest of the course, they’ll need to make a separate booking for the remaining dates.

  • Drop-in bookings count towards the course’s overall capacity. If a date becomes fully booked, customers can no longer book the full course because it includes that date.

  • If you no longer want customers to book the full course, you can make the course ticket unavailable while keeping the drop-in ticket available.

If you’re offering a trial session, consider how you’ll handle customers who decide to join the rest of the course. You may need to offer a separate ticket for the remaining dates or adjust the price to account for sessions that have already taken place.
