How to publish or unpublish an entry

Learn how to control when an entry is available for booking

Written by Anni

Publishing an entry makes it available for customers to book, while unpublishing it removes it from your public schedule. You can change an entry’s publishing status as your plans change, without needing to delete it.

This article explains how to publish and unpublish entries in Bookwhen.

Publishing an entry

To publish an entry:

  1. Open the Scheduling page from the left-hand menu.

  2. Select the entry you want to publish, then Edit entry:

Scheduling page with an arrow pointing at the 'Edit entry' button

  3. Move the Published toggle to the published position:

Entry settings with an arrow pointing at the 'Published' toggle

  4. Select Save or Save & Exit to save your changes.

Your entry will be available on your public booking page, subject to its dates, ticket settings and availability.

Unpublishing an entry

To temporarily remove an entry from your public booking page:

  1. Open Scheduling from the left-hand menu.

  2. Select the entry you want to unpublish, then Edit entry:

Scheduling page with an arrow pointing at the 'Edit entry' button

  3. Move the Published toggle to the unpublished position:

Entry settings with an arrow pointing at the 'Published' toggle

  4. Select Save or Save & Exit to save your changes.

This unpublishes all dates and times within the entry. Customers won’t be able to access or book the entry, even if they have a direct link.

💡 To note:

  • Unpublishing an entry doesn’t delete it. You can edit it and publish it again when you’re ready.

  • Existing bookings aren’t affected. Customers who have already booked can still attend, and enabled reminder emails will still be sent.

  • If you only want to unpublish one date or time, you can do this separately without unpublishing the entire entry. Follow these steps to unpublish a single event.

Unpublishing a single date on an entry

If your entry contains multiple dates or times and you only want to hide one, you can unpublish that event instead.

To unpublish a single date on an entry:

  1. Select the date from the schedule list, then the drop-down menu next to Edit entry.

  2. Select Unpublish this single event:

Scheduling page with an arrow pointing at the 'Unpublish this single event' option

  3. Only the selected event will be unpublished. The other dates in the entry will remain published.

Re-publishing a single event

To make the event available again, open the dropdown menu next to Edit entry and select Publish this single event:
