Locating your customer's pass
You can search for your customer using the Customers list, adding either their name or email address in the Search field:
Select the customer's email address from the list, then the Passes tab. From here, select the pass you'd like to manage.
You'll be presented with the following options:
Manage when this pass expires - You can manage the expiry date of the pass
Manage the number of available pass uses - You can manage the number of pass uses
Revoke this pass - You can revoke/unrevoke a customer's pass at any time using this option.
π‘ To note:
The pass overview within the customer record will list passes in descending order, so the newest one is on top, and the oldest one is at the bottom.
If the customer has multiple passes, eligible ticket purchases will be redeemed against the oldest pass, not the one with the most recent expiration date.
Manage when this pass expires
You or your customer may need to extend the pass validity period, for example, by four weeks due to summer holidays.
You can either override the expiry date (fixed expiry date) or edit the timeframe (relative timeframe expiry) based on when the customer first used it.

π‘ Both options override the original pass settings.
If you intend to extend the usage period via the Relative timeframe expiry option, the Override timeframe for use on events field should contain the sum of the original timeframe plus the desired extension.
For example, If the original pass is valid for 30 days from first use and you want to extend it for this particular customer by another 14 days, you would need to enter "44" in the 'days' field.
π‘ Please note: If a pass has an overridden expiry date, the first date the pass is used becomes fixed. This means that events occurring before the initial use date cannot be booked using the pass, even if the event falls within the pass's valid timeframe.
Manage the number of available pass uses
You can change the number of uses left on the pass. This is useful if, for example, your customer attended a class without booking in advance. You can remove one use from their pass (if they want to use their pass) by overriding the remaining uses.Β
π‘ To note: The number of classes refers to the original number. For example, if the customer started with 20 classes and has used 5, and you want to reduce the count by 1, you should change the total to 19.
Revoking a pass
You can revoke a pass by selecting Revoke this pass, then OK:
π‘ Pass use return on ticket cancellation
If the pass use returned on cancellation option is enabled in your booking preference settings, any ticket purchased with a pass will have the pass use returned upon cancellation, whether the cancellation is made by the event admin or the booker.
If this option is not enabled, the pass use will not be returned, regardless of who cancels the ticket.
