Monitoring franchisee performance with the Accounts dashboard

Learn how to track bookings, revenue, and attendance for franchisees

Please note: The accounts dashboard is available only for Bookwhen admin accounts on a Linked Accounts structure.

The Accounts dashboard lets HQ accounts monitor the performance of linked franchisees. You can track bookings, revenue, and attendance to get a clear overview of each franchisee’s activity.

This article explains how to use the Accounts dashboard to monitor and assess franchisee performance.


Accessing the Accounts dashboard

Once you are set up as the HQ account of a franchise, you can access the dashboard by:

  1. Select Linked accounts, then Accounts dashboard from the left-hand menu on your account:

  2. The dashboard contains a search bar where you can set the stats period, a list of all franchisee accounts and the option to export the list.


Understanding the Accounts dashboard

The Accounts dashboard will display each franchisee account connected to your HQ account, along with individual data for all of their schedule pages.

You can select the page name to link to the account, view the franchisee account's pricing plan, and access the schedule page on the franchisee's account.

Exporting the accounts list

To export the list of franchisee accounts, select Options, then Export accounts (CSV):

You can then open the CSV file in the spreadsheet software of your choice (Excel, Google Sheets, etc.).


What the Accounts dashboard tells you

The data displayed for each schedule page can be broken down as follows:

  • Stats period: This shows data for a specific period of time.

  • All-time: This shows data accumulated over the entire time the franchisee's account has been active.

  • Active customers: The number of unique customers who have attended an event within the stats period or the 28 days before the stats period.

  • Bookings made: The number of bookings completed on this schedule. (A booking can contain multiple tickets for multiple events.)

  • Spaces attended: The number of attended spaces on this schedule. (Each time one attendee attends an event, it is counted as an attended space.)

  • Spaces booked: The number of booked spaces on this schedule. (Each time one attendee has a ticket giving access to an event, it is counted as a booked space.)

  • Amount taken: The total monetary value collected for events on this schedule.

  • Refunds given: The total monetary value refunded to bookers on this schedule.

  • Total customers: The total number of unique customers who have attended an event.

  • Total bookings: The total number of bookings taken on this schedule.

  • Total attendances: The total number of attended spaces for this account. (Each time one attendee attends an event, it is counted as an attended space.)

  • Amount taken: The total monetary value collected for events on this schedule.

  • Refunds given: The total monetary value of refunds issued for events on this schedule.
