Can I set different commission percentages for each franchisee?

Yes, you can set different commission fees for each franchisee.

Currently, we don’t offer a consolidated monthly report for fees, but we may introduce this feature in the future. Bookwhen does not take any additional fees for accounts on a Linked Account structure other than the monthly or annual Bookwhen subscription cost (Standard Plan or higher).


Can I set different commission fees for tickets, passes, vouchers, and memberships?

Yes, as well as varying by franchisee, commission fees can vary by product type. For example, you could collect:

  • 5% on tickets

  • 10% on passes

  • 10% on vouchers

  • 15% on memberships

Additionally, you can set different commission fees for vouchers based on their value:

  • 10% for vouchers valued at £10

  • 15% for vouchers valued at £15 or more


Can I set different commission amounts for different schedule pages?

Yes, commission amounts can also vary by schedule page for your franchisees. For example:

  • Schedule A: 5% on tickets

  • Schedule B: 10% on tickets

  • Schedule C: 0% on tickets

We recommend setting the same commission percentage across all product types (tickets, passes, vouchers, memberships) for each schedule to avoid commission discrepancies. Additionally, ensure that:

  • Passes for Schedule B are only valid for Schedule B tickets.

  • Vouchers and tickets on different schedules are excluded from each other.


How do commission fees work on tickets?

Commission is collected at the point of purchase for tickets from the franchisee and is sent through to the Stripe account on your HQ. You can set different commission fees for tickets, passes, vouchers and memberships.


How do commission fees work on passes?

Commission is collected from the franchisee at the point of purchase for passes and sent to the Stripe account on your HQ. You can set commission fees for passes that differ from those for tickets, vouchers, and memberships.


How do commission fees work on memberships?

Commission is collected at the point of purchase and on a recurring basis based on the customer's renewal period (monthly, quarterly, or annually) from the franchisee and is sent through to the Stripe account on your HQ. You can set different commission fees for memberships compared to passes and vouchers.


How do commission fees work for vouchers?

Commission is collected from the franchisee at the point of purchase for vouchers and sent to the Stripe account on your HQ. No commission is collected when customers redeem vouchers. You can set different commission fees for vouchers, including varying rates for different voucher values.


What happens to commission if I add tax or online payment gateway fees?

If you're using the “Add Tax” function in the payment settings, the commission will only be collected from the base price of the product (ticket, pass, voucher, or membership) and not from the added tax.

For example:

  • If the ticket price is £7.50 and you apply a 20% tax, bringing the total to £9.00, only 10% of £7.50 (i.e. 75p) will be collected as commission, not from the full £9.00.

If you're using the "Add Online Payment Gateway Fee" functionality, commission will also not be collected from the additional payment fee.


How do I change the commission percentage for my franchisees?

To update a franchisee’s commission percentage, please contact the support team with the new commission percentage and the franchisee's name/URL.


What happens to the franchisor’s commission if a franchisee issues a refund?

If a franchisee issues a refund to a customer, the full amount spent by the customer is refunded. However:

  • Stripe fees are non-refundable.

  • Commission fees may be refunded at the franchisor’s discretion, depending on the franchise agreement. The franchisor can refund the commission via Stripe.


How quickly are commission fees paid to a franchisor?

The fees collected from a franchisee’s booking are sent to the HQ franchise account immediately at the point of purchase via Stripe. The schedule of when these are paid out to your bank is dependent on your payout settings on Stripe.


What happens if my franchisee takes payments outside of Stripe?

If a franchisee processes payments outside of Stripe, those transactions will be outside the scope of the commission fees. To prevent this, you can disable offline payments on franchisee accounts, ensuring that all payments are processed via Stripe and subject to commission fees.


Can I have commission fees go to a different bank account for my own classes as a franchisor?

Yes, you can set up a Franchise account connected to the Franchisor HQ. Each Bookwhen account can have its own payment gateway via Stripe, and each franchisee will input their bank details for Stripe payouts. This ensures that your own bank account for classes is separate from your franchisor commission payments.


Can I have more than one Stripe account connected to my Bookwhen account?

No, it is not currently possible to have more than one Stripe account connected to a Bookwhen account.


Can you send invoices through the system?

No, Bookwhen does not currently offer the ability to send invoices through the system at this stage.
