What plan do I need to be on to use Linked Accounts?
As Linked Accounts get access to exclusive features like commission collection for franchise-specific setups, HQ accounts must be on the Standard plan or higher, based on booking volume. Sub-accounts can begin on the Lite plan.
What payment gateway do I need as a franchise?
If collecting commission fees, your HQ and sub-accounts must use Stripe, as all payments and fees are processed through.
Commission fees can be set as a percentage, flat fee, or a combination, with different rates for each franchisee and by each product type (tickets, passes, memberships).
If I don’t collect commission, do I still have to use Stripe?
If you don’t collect commission, you and your sub-accounts don’t need to use Stripe as your payment gateway when using Linked Accounts on our connected network.
However, please note that the membership feature is only available when Stripe is used as your payment gateway.
Do I need to collect bank details from franchisees to set them up?
No, you don’t need to collect bank details from franchisees. They will be responsible for entering their bank details directly into their own independent Bookwhen accounts when setting up Stripe and, in the event that they are responsible for paying the Bookwhen subscription.
How do I add new sub-accounts to my HQ account?
You would have received a unique sign-up URL when onboarding onto our Linked Account network.
Please use your HQ’s unique sign-up page to add new sub-accounts.
If you wish to collect commission, please contact our support team to set the commission amount.
For sub-accounts with an existing Bookwhen account, send the account name and URL to support, and they’ll connect it to your HQ. Don’t forget to include the commission details.
If the sub-account was using PayPal, they’ll need to switch to Stripe.
If they were previously using Stripe, they’ll need to re-authenticate their account to ensure commission fees are processed correctly.
Can I white-label URLs or customise the front end of Bookwhen pages for my franchise?
No, URLs cannot be white-labelled, and public pages cannot be customised for colours or fonts. However, you can upload your own banner and logo image.
Can I change the terms and conditions for each franchisee?
Yes, as a franchisor, you can have admin access to each franchisee’s account, which allows you to change their settings, including the terms and conditions.
Do both the franchisor and franchisee need to set up Stripe?
Yes, both the franchisor and franchisee need to set up Stripe so that the franchisor can collect commission fees.
