✨ Please note: Linked Accounts are only available on the Lite plan or above.
A linked account connects multiple Bookwhen accounts under one central management system. This lets you control permissions, share settings, and manage multiple schedules efficiently.
This article explains what a linked account is and the structures you can use.
What is a Linked Account?
Linked Accounts is the term for a structure in which two or more Bookwhen accounts are 'linked' together.
In this structure, there is a hierarchical relationship, with one primary HQ account that connects to multiple sub-accounts.
For example:
Primary Bookwhen HQ Account
Bookwhen sub-account
Bookwhen sub-account
Bookwhen sub-account
Linked Account structure types
There are two main types of Linked Account structures within Bookwhen. The setup you choose depends on whether you need to collect royalties from your sub-accounts.
Connected System (Non-Royalty Based)
A connected account structure includes one primary HQ account with multiple sub-accounts beneath it. There is no commission involved, and the HQ account does not collect royalties from the linked sub-accounts.Franchise System (Royalty-Based)
A franchise account structure follows the same setup as a connected account but with one key difference: the HQ account collects commission/royalties from its linked sub-accounts.
Linked Account features
Along with the core Bookwhen features (which vary depending on your subscription plan), there are additional features available when using the Connected or Franchise system setup:
Class Search Portal
Co-Branded Sign-Up Page (optional)
Pre-Populated Enforced Entry Templates
Entry Templates and Tag access
When Entry Templates are enabled for sub-accounts, Tag management is restricted. Sub-accounts won’t be able to edit or manage Tags independently; the HQ account controls these through the template setup.
To note
Both HQ and sub-accounts require a paid plan for a linked account structure.
The franchise system structure is exclusive to users with Stripe as their payment provider.
Both HQ and sub-accounts must use Stripe, and HQ needs a Stripe Connect account.
Deleting team members or changing account owners can impact HQ access, specifically 'parent-account-owner' access.
'Parent-account-owner' access allows adding entry templates, transferring calendars, and accessing linked accounts submenu items.
