✨ Please note: This is only available to paid plan accounts within a Franchise-based Linked Accounts structure. Stripe must be used as the payment provider for all accounts.

When you’re ready to add additional franchisees to your Bookwhen franchise network, there are a few methods depending on each franchisee's situation.

If your franchisee has never used Bookwhen, follow these steps to add them to your franchise network:

  1. Franchisee Account Creation
    Ask your franchisee to create a Bookwhen account through your unique co-brand sign-up page.

  2. Stripe Setup
    Once the account is created, the franchisee will need to set up Stripe by adding their Stripe details in the payment settings section of their Bookwhen account.

  3. Send Information to Bookwhen Support
    After confirming that Stripe has been added, send the franchisee's account name and specify the commission amount (either percentage or fixed £ amount) to support@bookwhen.com.

  4. Manual Link Creation
    Bookwhen will manually create the connection between your HQ account and the new franchisee’s sub-account. You will be notified once this is complete.

  5. Re-authenticate Stripe
    After the connection has been confirmed, your franchisee will need to re-authenticate Stripe to ensure commission payments are directed to your Stripe account.

This process allows you to easily onboard new franchisees to your Bookwhen network.


Adding a new franchisee without an existing Bookwhen account

If your franchisee has never used Bookwhen and did not sign up through the co-brand sign-up page, follow these steps:

  1. Create a New Paid Bookwhen Account
    Set up a new paid Bookwhen account for the franchisee to use.

  2. Stripe Setup
    The franchisee will need to add their Stripe details by navigating to the payment settings section in their Bookwhen account.

  3. Send Franchisee Dashboard URL and Commission Details
    After confirming the Stripe setup, send the franchisee’s dashboard URL and specify the commission amount (percentage or fixed £ amount) to support@bookwhen.com.

  4. Manual Link Creation
    Bookwhen will manually create the connection between your HQ account and the franchisee’s sub-account. You will be notified once this process is complete.

  5. Re-authenticate Stripe
    Once the connection is confirmed, the franchisee must re-authenticate Stripe to ensure commission payments are directed to your Stripe account.

This process allows you to add new franchisees to your Bookwhen network even if they didn’t use the co-brand sign-up page.


Adding a new franchisee with an existing Bookwhen account

If your franchisee already has a Bookwhen account and you wish to add them to your franchise network, follow these steps:

  1. Ensure Stripe Is Set Up
    Confirm that the franchisee is using Stripe as their payment provider in their Bookwhen account.

  2. Confirm Stripe Setup
    Once the franchisee has confirmed their Stripe setup, send their dashboard URL and specify the commission amount (percentage or fixed £ amount) to support@bookwhen.com.

  3. Manual Connection Creation
    Bookwhen will manually create the connection between your HQ account and the franchisee’s sub-account. You will be notified once this process is completed.

  4. Re-authenticate Stripe
    After the connection is confirmed, the franchisee will need to re-authenticate Stripe to ensure commission payments are correctly directed to your Stripe account.

This process allows you to link an existing franchisee account to your network while ensuring that commission is correctly tracked.


Additional notes

If your franchisee is using their existing Bookwhen account under your franchise name, it's a good idea for them to update their account name and schedule page to reflect this.

  1. Schedule Pages
    You can adjust schedule pages through the page set-up settings in their account.

  2. Account Name
    If the franchisee needs to change the account name, they will need to contact Bookwhen Support for assistance.

Updating these details helps maintain clarity and consistency across your franchise network.
