Understanding the Dashboard: Statistics

Learn what each stat means and how it’s calculated

Your dashboard shows key stats, updated in real time, to help you track your account's performance.

What’s included

Your dashboard shows four headline stats to help you track bookings, income, and attendance at a glance:

You can filter these metrics across all schedule pages, specific schedules, or by date range, including the last 7 or 30 days.


Using the Schedule page filter

If you have 2 or more schedule pages, you can filter the stats to view overall performance across all schedule pages or focus on a specific schedule page dependant on your team permissions:

  • Account Owners can access performance data for all schedule pages.

  • Schedule Managers can view only the schedule pages they have been granted access to.


Using the date range filter

You can choose between the Last 7 days or the Last 30 days, counting backward from "today". Both options allow you to compare your stats with the previous period.


How each stat works

Bookings

Shows the total number of bookings completed in the selected period, including any that were later cancelled.

How it's calculated

Counts sum of all bookings created from the Bookings export, whether paid online or offline within last 7 or 30 days.

  • Booking created (column D)

Net Revenue

Shows the total net amount (before tax) received in the selected period. This includes offline payments once they’re marked as paid. Refunds aren’t included.

How it's calculated

Counts all paid bookings from the Bookings export in Bookwhen.

  • Column J (payments)

Spaces Attended

Shows the number of booked spaces (tickets) attended during the period, based on each event’s start date. Cancelled or transferred spaces, and those marked as having attended via attendee list are excluded.

How It’s Calculated:
Counts attended spaces from the Attendances export for the selected period, filtered by:

  • Attendance status (column P) = Completed

  • Ticket status (column AE) = Active

Spaces Cancelled

Shows the total number of booked spaces that were cancelled based on the event’s start date. Transferred spaces, and those marked as having not attended via attendee list are not counted.

How It’s Calculated:
Counts cancelled spaces from the Attendances export for the selected period, filtered by:

  • Attendance status (column P) = Cancelled

  • Ticket status (column AE) = Cancelled


FAQs

Are the stats updated in real time?

Yes, your dashboard updates instantly.

Why don’t these figures match my detailed reports?

They should match. If you spot any differences, please contact support so we can check.

Do the stats include unpublished schedules?

Yes, unpublished (inactive) schedules are included.

What happens if my account currency changes?

Revenue uses the payment currency, then shows the total in your account currency. Changing currency may affect the total shown.

How are transferred tickets counted?

When a ticket is transferred, the original ticket (space) is cancelled and a new one is created. Cancelled tickets are not included in the dashboard statistics; only the final active ticket for the date and time your customer transferred to is counted under 'spaces attended.' The full transfer history can be viewed in the attendances export
