Find out how you can include pictures in your entries to make them stand out

Adding an event image

You can upload the entry image by selecting Upload under the Event image section within the Information tab of your entry:


The tool also allows you to select an existing image from your previously uploaded files (if you have previously uploaded an image to Bookwhen within your account). 

Once you've selected an image, a tool option will appear for you to crop it, so it fits with our pre-defined dimensions.

We recommend using an image at least 2000x1125px (16:9 ratio), no larger than 10MB, and in JPG or PNG file format. 

The image appears on your public page at the top of your event, just below the event name:

⚠️ The system will not allow an entry image to be saved if the image title has a "+" in it. Please avoid using special characters in image names to avoid this error.


Editing or removing an event image

Once you have added an event image as outlined above, you will find the two options Edit and Remove in the top right above the image:

The Edit option allows you to drag and resize the field to crop your image, whereas the Remove option deletes the image and allows you to upload or select a new one.


Adding images to your event description

You can add additional images to your event description. To do this, you will need to insert a public image link. This means it already has to 'exist' somewhere on the internet.

The easiest way to do this via Bookwhen is to host your image in the attachment section of your account. To do this, select Upload files:

Press Select files and choose the image file you'd like to upload before selecting Done:

Next, you can copy the image link address. The image URL link address is not the URL of the image when you click on it. Instead, right-click on the image link in your attachments section and copy the link address like this:

Next, add the copied link into the following code between the bracketed () section (please remove PLACEHOLDER and put your link in its place).

An example of the markdown/syntax code is:

![image name] (PLACEHOLDER)

⚠️ Please make sure you remove the spaces before and after the [ ] brackets from the example above.

And this is the result on the public page:

💡 You will need to ensure the image is already uploaded in the correct sizing to your attachments, as you can't resize it later.
