Vouchers let customers pre-purchase credit that can be used towards bookings such as tickets, passes, or memberships. They act as a payment method at checkout and are applied to eligible items during booking.
This article explains how vouchers work in Bookwhen and actions you can take to manage them.
What a voucher is
A voucher is:
Pre-purchased value added to a booking account
Used as payment at checkout
Redeemable against eligible events and products
Vouchers are not:
Refunds or credit notes
Discount codes
Account-wide wallet balances outside checkout
How vouchers are used
Customers can apply vouchers when booking:
Tickets
Passes
Memberships (initial payment only, where applicable)
Voucher value can be used across multiple bookings until the balance is used up.
Buying a voucher
Steps to purchase a voucher:
Select the voucher from the public page
Add it to your basket
Complete checkout as normal
The voucher is issued to the purchaser’s account
Redeeming a voucher
Steps to use a voucher:
Add eligible items to your basket
Proceed to checkout
Enter the voucher code in the field in your basket (e.g. GKTGH-69D73-EDYRP):
Any remaining balance stays available for future bookings
Managing vouchers (for organisers)
Organisers can:
Create and publish vouchers
Set voucher value (minimum £1)
Restrict where vouchers can be used
Revoke unused vouchers if needed
Important limitations
Vouchers cannot be edited after creation
Vouchers cannot be used to purchase other vouchers
Vouchers do not function as refunds
Refunds must be processed separately through the payment provider
