How the EU VAT mechanism affects your Bookwhen subscription

EU MOSS, or the VAT European Union Mini One Stop Shop Scheme, is designed for businesses that sell digital services to customers within the EU. To participate, businesses must register for a VAT number with their country’s tax authority, such as HMRC in the UK or the IRS in the USA.

How to add your VAT number to Bookwhen

If you have a VAT number and are based in a non-UK EU member state, you can enter it on Bookwhen. To do this:

  1. Select Account, then Plans & Billing from the left-hand menu on your account.

  2. Select the Options drop-down menu, then Update billing details.

  3. Add your VAT number in the VAT Number field:

  4. Select Save changes once finished.


How VAT is applied to your subscription payments

We check the validity of your VAT number. If accepted, your subscription payment is classified as B2B (business to business), meaning VAT will not be added to your invoice.

If you do not have a valid VAT number, your payment is categorised as B2C (business to customer), and VAT will be applied. Bookwhen then transfers this VAT to the EU via MOSS as part of regular tax submissions.
