How to increase or decrease the event capacity for individual dates in an entry

This feature allows you to override and change the capacity of specific events in an entry.

This article covers:

πŸ’‘ To note: If you're reducing the capacity because you've taken bookings outside of Bookwhen, we recommend manually booking those attendees rather than adjusting the event capacity.


Changing the capacity for a single event:

  • Select the relevant Scheduling page

  • Select the specific event/date on your schedule that you'd like to change the capacity of

  • Select the down arrow next to Edit entry, then Event specific information (if your event has a 'physical' location) or Add online joining details (if your event has an 'online' location):

  • Enter your maximum event size for this specific event:

πŸ’‘ Please note:

  • This overrides the capacity for this date only. Please repeat the process for any additional dates you'd like to amend.

  • The change may not come into effect if the β€œNumber of tickets available” is set and is below the new event capacity.


For course-only events:

  • Head over to your Scheduling page

  • Select the course on your schedule that you'd like to change the capacity of, then the attendees' icon πŸ‘¨β€πŸ‘©β€πŸ‘¦ to open the attendee register for that specific date/time:

  • Select Options, then Event specific information (if your event has a 'physical' location) or Add online joining details (if your event has an 'online' location):

  • Enter your new maximum event size for this specific course date, then Save changes:

  • This overrides the capacity for this date only. Please repeat the process for any additional dates you'd like to amend.

  • The change may not come into effect if the β€œNumber of tickets available” is set and is below the new event capacity.
