Sending a welcome email after a customer’s first booking is a great way to add a personal touch and build stronger relationships. This article explains how to set up and send these emails.


Sending a welcome email

To send a welcome email:

  1. Select Customers from the left-hand menu to open your customer list.

  2. Select the Options drop-down menu, then Export customers (CSV):

This will download a CSV file (in spreadsheet form, e.g. Excel, Numbers) containing two columns:

  1. 'Total bookings' and

  2. 'Total attendances'.

If the number in these columns is '1', it indicates a new customer.

You can filter the emails and send them their welcome email outside of Bookwhen using your email host (e.g. Gmail, Outlook).

💡 Tip: If this is a regular report you'd like to run (e.g. monthly), compare the new file with the previous one to ensure you're only sending emails to new customers, not repeat ones you may have contacted in the past.
