Searching your customer list

Learn how to find and display your members in Bookwhen

Please note: The Membership feature is only available on the Standard Plan and above, using Stripe as their integrated payment provider.

Instead of exporting a CSV file, you can use filters to create a visual list of your members directly in Bookwhen. This makes it easy to access and manage member information quickly. This article explains how to search, filter, and display your members using the customer list.


How to generate the search

  1. Select Customers from the left-hand menu:

  2. Filter your search by membership by selecting the relevant ones from the Filter by section:

  3. Select Add to apply the filter.

  4. Once the 'Memberships' box appears in the filter section, click into the field:

  5. Select the membership types you wish to display.

    • For example, you might choose Monthly, Yearly, or any other membership plan you have set up.

    • You can add multiple membership types by clicking into the box again and selecting additional options.

  6. Once you’ve selected your membership types, select Search to generate and display the filtered list.

The page will update to display the filtered members that match your selection criteria. The visual list allows you to review key details at a glance, such as member names, contact information, and membership status.


Further filtering

If you wish to refine the list even further, you can use additional filters, such as Active status, to keep track of who currently has access to your services.

To do this:

  1. Select Membership status from the Filter by drop-down list:

  2. Select Add, then the status type (Active, Cancelled, Due to cancel, and Payment failed):

  • Alternatively, you can search by individual membership number by selecting the Filter by drop-down menu, Membership number, then typing the membership number into the field.


Saving or exporting the list

If you decide that you would like to save the list for future reference, you can still export it as a CSV.

To do this:

  1. Select the Options drop-down menu, then Export customers (CSV):

  2. A loading screen will appear, where you can either wait for the report to generate or select Email report to have it sent to your email address so you can navigate away:

  3. If you choose to wait for the report to generate, a new screen will appear with the message "Report is ready to download." Select Download to save the report to your device:

  4. This will download the list, which you can open in your spreadsheet software of choice (e.g., Excel, Google Sheets, etc.).
