There may be occasions where you need to adjust a single date or multiple dates within a recurring schedule. Whether you're updating a class time or separating events onto different days, it's important to ensure changes don’t disrupt existing bookings.
This article covers:
Before you start
Before you make any changes to your schedule, we recommend you unpublish the entry to ensure minimal disruption and potential confusion for any customers who may be actively trying to book.
Editing the schedule
You can edit the schedule from within the entry in a couple of ways. Please note that these instructions will vary depending on whether the date/time(s) you are amending have active bookings or not. If you have active bookings, please skip to the next section.
1. Amending a singular date within the entry (no bookings)
To remove singular dates from within the entry:
Open the Dates & Times tab and select the date you wish to remove.
You can choose between three options:
Edit the recurring schedule as a whole.
Separate this date/time from the recurrence.
Remove this date/time from the schedule.
For example:
Amending a date/time
To amend the date/time you selected, use the Separate this date/time from the recurrence option. Once selected, the date will be separate from the rest of the recurring schedule, and you will be prompted to add the new date/time.
For example, if you need to make the class an hour later or change it to a different day, you can fill out the new time:
You can repeat this process for any dates within the entry with no bookings. Please remember to select Save changes after each change.
Removing a date/time
If you'd like to remove a single date from the entry, first select the date/time from the list, then the Remove this date/time from the schedule option.
Once selected, press Remove to confirm:
The selected date/time will then be removed from your schedule list.
Adding the date back into the schedule
You can re-add the date/time to the recurrence by selecting a date that is recurring, then Edit the recurring schedule as a whole. From here, scroll down, and select the date that you'd like to add back to the schedule:
Adding a new date to the schedule
To add new dates/times to the existing entry, select Add another date/time in the top right-hand corner:
2. Amending a singular date within the entry (with bookings)
If you have any active bookings on your schedule, you will need to amend the dates outside of the entry to ensure the bookings are carried across to the new date/time. This is so you can avoid the 'red-line' error.
To do this, select the entry from your schedule list under Scheduling. Then the drop-down menu next to Edit entry. From here, select Change event date/time:
Double-check that it's the correct date/time at the top before you amend it, then select Save changes:
Removing a date/time
If you'd like to remove a date/time from a recurring schedule with active bookings, you will first need to create a new date/time in the entry. Then, either cancel the tickets and manually book attendees onto the new date or manually transfer attendees to the updated date/time.
💡 Be sure to inform your attendees first and ensure they consent to any changes.
Duplicating the entry
To amend a recurring schedule from a specific date, you’ll need to end the original recurrence. Then, either add the new dates/times within the existing entry or duplicate the entry and manage them separately (*recommended) for better organisation.
End the original recurrence
💡 Important: Before ending the recurrence, check if there are any bookings on future dates you plan to change. If there are, we recommend first adding the new dates to the schedule or duplicating the entry and adding the new dates/times there. This way, you can transfer the bookings before removing the old dates. You may wish to inform attendees of the change before actioning.
To end the recurrence on an entry, select the Dates & Times tab of the entry, then the schedule you'd like to amend:
Scroll down to the Repeat until section, and select Until a set date:
Enter the date you would like for this current schedule to end, then select Save changes:
Once set, you can choose to:
Add new dates/times to this entry, or
Duplicate the entry, removing past dates and adding the new dates/times to it.
1. Adding new dates/times to the original entry
To add new dates/times to the existing entry, select Add another date/time in the top right-hand corner:
Then create your new dates/times in the same way that you created the original dates/times.
2. Duplicate the original entry
Select the entry so that it is highlighted, then the drop-down menu next to Edit entry. From here, select Duplicate this entry:
You will then have created a duplicate of the original entry. With Copy of: added to the title:
You can change the title of the entry by selecting Edit Entry and editing the name within the Information tab of the entry settings:
💡 Any changes to your new copied entry will not affect your original entry.
Removing past dates
It's important to remove any past or old dates/times from the entry, as the system copies the original entry date and times across.
To do this, use the date filter to locate the previous dates (if necessary):
Once selected, select Edit the recurring schedule as a whole to amend the recurrence to start from your new start date:
Or you can remove this original recurrence entirely via Remove highlighted dates/times:
Adding the new recurrence
Select Add another date/time to add a new recurrence into your duplicated entry:
Bookwhen recommends 💡
Editing the recurring schedule via the Dates & Times tab will edit the entire series, past and future. When changing your occurrence dates/times, the most straightforward option is to duplicate the existing entry and set up entries for any new dates/times.
It's also good practice to keep events separate. For example, instead of bundling your recurring classes that occur on Mondays and Wednesdays of each week, you could separate them, creating one entry for Monday dates and another for Wednesday dates.
💡 We recommend limiting recurring schedules to no more than three months. Creating new entries per term or quarter makes it easier to adjust schedules as needed.
