Transferring pass bookings to Bookwhen

Learn how to manually set up your customers' passes from your original booking software

💡 Currently, we do not have a bulk upload feature, so each customer will need to be added manually.


Setting up your entries and passes

  1. Create Your Entries
    Start by creating all the relevant entries for your schedule. This ensures that your customers can be booked onto the correct events.

  2. Set Up Your Passes
    Once your entries are in place, proceed to set up your passes. These should correspond to the passes you’ve previously offered to your customers.


Booking customers onto your pass

Once you have set up your schedule and passes, you can start manually adding your customers.

To do this:

  1. Open your public page by selecting Scheduling from the left-hand menu on your account, then View public page:

  2. Select the Passes tab on your public page to open your pass options:

  3. Find the pass you'd like to purchase, then Select to add it to your basket.

  4. When you visit your basket, we will prompt you to add a corresponding ticket alongside the pass:

    • This is so we can calculate a 'start date' for the pass, which works with the validity period you set up within the pass settings.

  5. Once you select Select tickets, we will redirect you back to your public page schedule, where you can add any relevant ticket(s) to your basket.

  6. Once added, open your basket again, and the ticket cost should show as 'Pass use' due to the system redeeming it against one of the available uses on the pass:

  7. Then proceed to check out by selecting Book Now.

  8. It's important to add the customer's email address throughout the checkout process as both the Main booking contact:

  9. And attendee:

    • This ensures the system can recognise and assign the pass to the correct customer, identified by their email address.

  10. As an admin, you can bypass payment by selecting the offline payment option. This allows you to record the payment at a later time if needed.


After booking your customer's pass

Once a booking is made, you can manage the customer’s pass by adjusting details such as the usage period, usage amount, and more. This is helpful if the customer attended an event before you moved your bookings to Bookwhen. Even though the event has already passed, you can still include it as a valid use on their pass.
