Learn how to manually set up your customers' passes from your original booking software

πŸ’‘ To note: We don't currently have a bulk upload feature, so each customer must be set up manually.


Setting up your entries and passes

  1. The first step is to ensure you have created all relevant entries to your schedule (so you can book your customers onto the corresponding events).

  2. Once you have created your entries, you can set up your passes to match the ones you have previously offered to your customers.


Booking customers onto your pass

Once you have set up your schedule and passes, you can start manually adding your customers.

To do this, open your public page:

1. Select PASSES on your public page to open your pass options:

2. Select the pass you'd like to assign to your customer to add it to your basket. When you visit your basket, we will prompt you to add a corresponding ticket alongside the pass:

  • This is so we can calculate a 'start date' for the pass, which works with the validity period you set up within the pass settings.

3. Once you've selected a ticket and opened your basket, the ticket cost should show as 'free', due to the system redeeming it against one of the available uses on the pass:

You can then proceed with checking out by selecting Book now.

πŸ’‘ It's important to add the customer's email address throughout the checkout process as both the Main booking contact:

And attendee:

  • This is so the system can recognise and assign the pass to the correct customer (identified using their email address).

After booking your customer's pass

Once booked, you can manage your customer's pass by adjusting the usage period, usage amount, etc.

  • This is useful if they attended an event before you moved your bookings over to Bookwhen, the event is now over, and you still want to include that as a use on their pass.
