You may want to offer a Pass to a customer at no cost, for example, as a gift, refund alternative, or goodwill gesture. There are a couple of ways to do this without affecting your Pass setup or tracking.
This article covers:
Best options for gifting a Pass
There are two main ways to offer a Pass for free:
1. Manual booking with payment marked as ‘Other’
Select your Scheduling page, then View public page to open your public booking page:
Select the Passes tab, then the pass you want to gift:
To check out, you must select a valid ticket alongside the pass, even when completing a booking on behalf of a customer.
Go back to your schedule and choose Select to add the valid ticket to your basket:
Select Book now to start checkout:
Add the Main booking contact and select Continue:
Add the attendee (this is usually the same as the Main booking contact for passes), fill in any relevant Booking details and select Continue.
On the payment page, scroll down to the Offline payment section, select Other as the payment method and add any relevant details for your reference:
For example: "Manually assigned Pass to customer" or “Gifted Pass – no charge”.
Select Complete booking to complete the pass purchase.
This method keeps the pass linked to a confirmed booking and adds the correct number of uses to the customer’s account.
2. Create a 100% discount code
Alternatively, you can create a 100% pass discount and gift that to your customer to redeem against their pass purchase. To do this:
Select Packages & Discounts, then Discounts from the left-hand menu on your account.
Select the Create a discount set button from the top right-hand corner of the page:
Name the set with something that makes it easy to identify who the code is for, then select Pass discount under Discount type:
If you're adding multiple personalised codes, you may want to name the set something generic, like "Gift Passes". Alternatively, create separate sets for each customer and name them something like Pass redemption – [Name].
If you would like to restrict which pass the customer can use the discount against, select Add usage restriction:
Select the pass from the drop-down list, then Add:
Next, select Add discount code:
Add your discount code to the field at the top of the setup. Codes are not case-sensitive, meaning customers can use either lowercase or uppercase when redeeming them.
Choose the type of discount, such as Percentage off and add the Discount percentage, for example, 100%.
If necessary, set an expiry date for the code, then add How many times can the code be used, for example, 1.
Finally, tick the Restrict to single use per booker email address checkbox:
Once complete, select Add codes to add the code to the discount set.
Check the set to ensure you are happy with the setup as well as the Published status.
Select Save changes to save the set:
You can then share the code with your customer(s) or use it to complete the booking yourself.
This method saves you time and gives your customer the flexibility to redeem the code and buy the pass themselves. You can also send them our articles on how to purchase a pass and redeem a pass discount code.
