Making an entry unavailable

Learn how to make an entry unavailable to stop new bookings while still allowing ticket transfers

If you're cancelling an event type in Bookwhen and would like customers to be able to transfer their own tickets, you can make it unavailable rather than cancelling, deleting or unpublishing it.

What does ‘unavailable’ mean?

Setting an entry as unavailable keeps it visible on your public page, but prevents anyone from booking it. This is helpful when you want to:

  • Show event(s) that are cancelled.

  • Stop further bookings.

  • Keep the option open for customers to transfer their tickets.

Why would I make it 'unavailable' instead of cancelling it?

Cancelled events show a "cancelled" note next to them on the public page. For example:

However, when you cancel an event, customers cannot transfer their tickets.

If you would like to make the entry and all dates/times in the entry unavailable to allow customers to transfer tickets, you can:

  1. Contact your attendees and inform them about the cancellation.

  2. Amend the event name or description to let people know it’s cancelled, such as adding [CANCELLED] at the beginning of the title. This keeps your schedule clear and avoids confusion.


How to make an entry unavailable

💡 Please note: Any changes made within the entry will apply to all dates in that entry.

To make your entry unavailable:

  1. Open your Scheduling page.

  2. Select the entry you want to make unavailable from your schedule list, then Edit entry:

  3. Select the Tickets & Costs section and add a zero "0" in the Maximum tickets per booking field:

  4. Then save your changes by selecting Save or Save & Exit.

This ensures no one else can book, but existing attendees can still transfer their tickets or be managed by you.

How this appears on the public page

When you make an entry unavailable, a circle with a line 🚫 will appear next to each date/time within the entry on the public page:

And all accompanying tickets will appear as "unavailable":
