As an admin, you automatically have a Booker account linked to your signup email. This allows you to use the customer portal like your customers, check your own bookings, test the booking process, and troubleshoot any issues.

This article explains how admins can access their own Booker account and use the customer portal.

Why access your booker account as an admin

Accessing your own booker account can be helpful if you want to:

  • Test the booking management flow from a customer’s perspective

  • Familiarise yourself with the customer portal experience

  • Check how passes, memberships and vouchers appear

  • Manage or cancel your own test bookings

How to access your Booker account

There are four ways that you can access your Booker account:

1. Via your admin page

To access the customer portal via your admin page:

  • Log in to your Bookwhen account

  • Select your name in the top right-hand corner, then Customer portal:

2. Via your public booking page

To access the customer portal via your public booking page:

  • Open your public booking page

  • Select your name from the top right-hand corner, then Customer portal:

Public booking page with an arrow pointing at the 'Customer portal' option

💡 To note: If you notice a green tick next to an event on your public page, it means the email address you are logged in with has an active booking for that event. It does not indicate whether the event is published or available to others.

3. Via the main Bookwhen website

💡 If you are choosing this option, please make sure you log out of your admin account.

To log in via our main marketing page: www.bookwhen.com:

  • Select the Log in option in the top right-hand corner of the page:

Marketing page with arrow pointing at the 'Log in' button

  • Once selected, a window pops open. Select Booker Account and fill out your email address and password, then Log in:

4. Via your booking confirmation email

If you have made a booking using Bookwhen as a customer:

  • Select the View booking button link within your booking confirmation email.

For example:

This directs you straight to the portal:
