Group tickets allow your customers to book for 2 or more people, often with a discount, at a single fixed price set by you. This article explains how to set them up on your Bookwhen account.
How to create a group or family ticket
Open your Scheduling page.
Select your existing entry, then Edit entry:
Select the Tickets & Costs tab, then Create ticket:
Add all the relevant information relating to the ticket, such as Name, Pricing etc. Once completed, select the Group use checkbox to make a Group ticket:
Enter a minimum attendee amount in the fields under How many people does this ticket cover?
For example:
The minimum number you can set is 2, and there isn't a limit on the maximum number.
💡 Important notes:
The price remains fixed, regardless of the number of attendees a customer adds to the group ticket. If you'd like to adjust the price based on group size, we recommend creating separate group tickets for each size.
Each attendee booked through a group ticket counts towards the maximum event size. The same applies to group/family passes. The system deducts one pass use per booked attendee.
It’s not possible to transfer or cancel individual attendees from a group ticket. If you need to make changes, please cancel the ticket and rebook as needed.
Configuring attendee-level inputs
To collect individual agreements for disclaimers or policies, you can add attendee booking fields on the booking form. Each participant in a group booking will then complete their own details, ensuring every attendee agrees separately.
