How to manually add joining details
❗️Please do not enable the Bookwhen-Zoom integration if you opt for this setup.
To set up live streaming using your own Zoom details:
Copy the link once you have created your Zoom meeting ID within your Zoom account.
Select the entry from within your schedule, then Edit entry:
Select the Location tab, then Online event and Add a new location. You can then add a Location name (such as 'Zoom - Manual') and select Manually added joining details from the Online provider drop-down list:
Paste your Zoom link into the Private online event information field if you want to use the same meeting ID for all event dates/times within entry.
We recommend that you paste your Zoom details, such as the Zoom ID and any other joining information, such as a Zoom password if you have set it up.
Finally, Save your entry before exiting.
💡 If you'd like each class to have a unique Zoom meeting ID, do not add any information in the Private online event information box. Instead, leave this box blank and follow the below steps.
Setting up a unique Zoom meeting ID for each class
If you'd like each event date/time in your entry to have a unique meeting ID, select the date/time you'd like to update on your scheduling page, then the drop-down menu next to Edit entry.
From here, select Add online joining details:
You can then add relevant information in the Private online event joining details box in the pop-up window:
💡 Please note:
This link will only apply to the date/time that you select.
If you need to change the private event information after you've made bookings for an event, we recommend resending confirmation emails so all attendees have access to the joining information. Otherwise, those who booked before you amended the event will only have access to the old information.
This does not appear in the Customer Portal. If customers use the "View online event" button in the portal, an error message will appear indicating that the event isn’t found.
Customers can only access the "Private event-specific information" by using the "View online event" button in their confirmation or reminder emails.
Test booking
We recommend doing a test booking as admin so you can review how the meeting will appear to your customers.
Once a customer makes a booking, you will receive a confirmation email that will link to View online event.
For example:
👉 The customer selects that button to view the event details you have set up.
