Learn how to create list-only entries to gather interested customer information

You can create a 'waiting list only' entry to track interest in an event or collect email addresses for potential customers.

To do this, you'll need to ensure you have the waiting list setting switched on, create your entry, and amend your capacity levels to zero.

Setting up the entry

To set up the waiting list-only entry:

  1. Open your Scheduling page.

  2. Select Create an entry:

  3. Select the Information tab and add the name of the entry under Name.

    • For example, "Register your interest":

  4. Select the Dates & Times tab. If you'd like the entry to sit at the top of your schedule and it isn't specific to a specific date, you can create a '365' day event.

  5. To do this, tick the All day event checkbox and type '365' under the Duration (in days) box:

  6. Select the Tickets & Costs tab and add a zero (0) in the Maximum event size field:

    • This ensures that the event appears as 'fully booked', which automatically activates the waiting list.

  7. Select Save or Save & Exit to save your entry to your schedule.


How customers join the waiting list

When your customers visit your public page, they can select the Join waiting list button next to your event:

They must then complete a form with their name and email address:

They will receive an email informing them of their position on the waiting list. This is an automated email that cannot currently be amended.

If you're concerned it may cause confusion, you can add an explanation in the entry description. For example:

The message you add to the Description field will then appear in the Information section of the entry on your public page:

Editing the duration or date

Editing the duration or date within the Dates & Times tab will remove any active wait listers from the list. If you need to amend the event's duration, we recommend:

  • Unpublishing your current waiting list entry and duplicating it to prevent losing details when amending the date, or

  • Noting the waitlist information before you make any date changes.
