Calculating usage allowances
If you've set usage limits for the membership offer, the system will enforce these restrictions, allowing customers to book only the specified number of times within the set period.
For a monthly plan, the usage period aligns with the billing cycle. For example, if a customer signs up on the 3rd, their usage period resets on the 3rd of each month.
💡 Please note: Admin bookings are not counted toward their usage allowance.
What customers experience when they reach their usage limit
When customers reach their usage limit for a membership offer, they won't be able to book additional tickets during the usage period. A message will appear on the public booking page to let them know they have reached their limit. For example:
"Limit reached for period. Maximum [number] tickets between [date] and [date] (inclusive)":
However, they can still book future tickets for the next period as long as they stay within the permitted allowances.
Reporting on membership offer usage
As we improve membership offer usage reporting, you can check this data for individual customers in a couple of ways:
Via the Customer list
To check the data for individual customer data via the customer list:
Select Customers from the left-hand menu on your account.
Search for the customer using their name or email, then select Search to generate the results.
Select the hyperlinked email under their name to open their customer profile.
In the Details tab under Summary, Select View attendances beside Total events booked:
This will give you a list of their previous and future booked events.
Scroll down to view which events were booked as membership tickets and how many membership-based tickets they've booked.
Via Memberships
To check the data for individual customer data via the membership:
Select Packages & Discounts, then Memberships from the left-hand menu on your account.
Select View next to the membership you'd like to open and scroll down to the Memberships section.
Find the customer from the list and select the three-dot (...) menu, then View customer to open their unique customer profile:
In the Details tab under Summary, Select View attendances beside Total events booked:
This will give you a list of their previous and future booked events.
Scroll down to view which events were booked as membership tickets and how many membership-based tickets they've booked.
Changing existing membership offers
If you need to update or add a new offer to a membership, you can do this by updating the offer through the Customer group linked to the membership.
💡 Please note: Customers won’t receive system emails about offer changes. To ensure a smooth experience, consider informing existing members about the updates, including what’s changing and when the changes will take effect.
Updating existing offers
To update an existing offer:
Select Packages & Discounts, then Memberships from the left-hand menu on your account.
Select Edit next to the membership you'd like to amend and scroll down to the Offers section.
Select the line item of the offer you want to change and then the Edit offer button, or select the three-dot (...) menu, then Edit offer:
Then you can change the uses and usage period to the new restriction and then select Update to save this.
💡 Important: Updating or modifying an offer within your membership will extend new benefits to all existing and new customers who purchase the membership
