Learn how admin actions differ from your customers' when managing bookings

As an admin user, you have more control over bookings than customers, such as the ability to override some restrictions, skip booking form fields, and manually manage attendance or ticket types.

Admin permissions compared to bookers

As an admin user, you can:

  • Book tickets without completing the booking form

  • Skip mandatory booking form fields during checkout

  • Edit or cancel individual tickets and attendee details

  • Skip the password requirement (if set)

  • Select the main booking contact from a drop-down menu list of pre-existing customers during checkout

  • Skip both the attendee and main booking contact details

  • Choose a payment method regardless of settings, or skip payment entirely

  • Cancel or transfer tickets from within your account

Customers can only:

  • Book events that are published and not full

  • Fill out required booking form fields to complete their booking

  • View and manage their bookings from their customer portal

  • Transfer or cancel their own tickets, depending on the settings you've applied


When to add someone manually as an admin

Manual booking is useful when:

  • Customers are unable to book an event for themselves

  • You want to keep the event 'private', i.e. not share the event password and manage the bookings yourself

  • You have taken bookings outside of Bookwhen and need to add them to your event

  • You need to bypass form fields for speed or ease

Tips 💡

  • Ensure that you keep track of any manually added bookings, especially if you’ve skipped any details.
