Booker article: Learn how to manage bookings on behalf of other attendees

Booking for others is easy with Bookwhen. Whether you're reserving spots for a group or making arrangements for friends or colleagues, follow these simple steps to book on their behalf.

How to book

  1. Open the event organiser's booking page.

  2. Select the event(s) from their schedule list and add the tickets to your basket by selecting the Select button:

  3. and using the + or - buttons:

  4. Open your basket by selecting the basket icon in the top menu or the View selections button at the bottom of the ticket options.

  5. Review your basket to ensure the correct amount of tickets has been added and for the correct event/date/time.

  6. Select Book now to continue.

  7. If you have an account and are logged in, we will automatically populate the Booker email with the email address you use to log in.

  8. Otherwise, you will be required to add the relevant email address.

  9. Enter the details for each attendee. This may include names, contact information, and any other required information, depending on your event organiser's settings:

  10. If you have an account, the first attendee will auto-populate as you. To change this, select the Change attendee button:

  11. To add another attendee, select the Add another attendee button and fill out the relevant details.

  12. Select Continue to proceed to payment. The way you pay will depend on your event organiser's settings.

  13. Once the payment is processed, you (the booker) and all attendees will receive a confirmation email for the booking.


Tips for booking on behalf of others

💡 Double-check information: Verify all details to ensure accuracy and prevent any issues at the event.

💡 Notify attendees: Inform attendees about their booking and share any relevant details or tickets.

💡 Manage changes: If you need to update attendee details or modify the booking, follow the event organiser’s process for managing bookings.


Cancelling/transferring a ticket on behalf of an attendee

To cancel or transfer a ticket that you have booked on behalf of an attendee:

  1. Select Manage next to the event, then Cancel ticket or Transfer ticket:

Cancelling

  1. Select the ticket you would like to cancel:

  2. Select Confirm to confirm the cancellation:

Transferring

  1. Select the ticket you would like to transfer:

  2. Select the new event date/time from the list, then the ticket for that event:

  3. Select the Confirm button to confirm the transfer:

The attendee will then receive an updated email with the new, updated date/time of their event.
