Booking for someone else can be straightforward with Bookwhen. Whether you're securing spots for a group or handling arrangements for friends or colleagues, here's how to book on their behalf.

How to book

1. Start your booking

  • Open the event’s booking page where you want to reserve spots and find your event.

  • Add the tickets to your basket by selecting the Select button and using the + or - buttons:

  • Then open your basket (by selecting the basket icon in the top menu or by selecting View selections at the bottom of the ticket options):

  • Review your basket to ensure the correct amount of tickets has been added and for the correct event/date/time. Select Book now to continue:

  • If you have an account and are logged in, we will automatically populate the Booker email with the email address you are logged in with. Otherwise, you will be required to add the relevant email address:

2. Provide Attendee Information

  • You will be prompted to enter the details for each attendee. This may include names, contact information, and any other required information, depending on your event organiser's settings:

If you have an account, the first attendee will auto-populate as you. To change this, select the Change attendee button:

To add another attendee, select the Add another attendee:

  • Once completed, select Continue to proceed to payment.

3. Complete Payment

  • Proceed with the payment for the booking. The way you pay will depend on your event organiser's settings.

4. Confirmation

  • Once the payment is processed, you (the booker) and all attendees will receive a confirmation email for the booking.


💡 Tips for Booking on Behalf of Others

  • Double-Check Information: Ensure that all details provided are accurate to avoid any issues at the event.

  • Notify Attendees: Let the attendees know about their booking and provide them with any necessary information or tickets.

  • Manage Changes: If you need to make changes to the booking, such as updating attendee details or modifying the reservation, follow the event’s specific process for managing bookings.


Cancelling/transferring a ticket on behalf of an attendee

To cancel or transfer a ticket that you have booked on behalf of an attendee, log into your account and visit your event page on the customer portal.

From here, select Manage next to the event, then Cancel ticket or Transfer ticket:

Select the ticket you would like to cancel:

Then Confirm the cancellation:

Transferring

Select the ticket you would like to transfer:

Select the new event date/time from the list:

Select the Confirm button to confirm the transfer:

The attendee will then receive an updated email with the new, updated date/time of their event.
