Learn how to prepare and run your event online via video call

This checklist covers the key steps for hosting your event online, from setting up your live stream to ensuring a smooth experience for attendees.


✅ Pre-event

☐ Research similar online events (YouTube, Vimeo, etc.) for inspiration.


☐ Choose your live streaming software (e.g. Zoom, Jitsi, or another software).


☐ Select your hardware (camera, microphone, device, lighting).


☐ Test your hardware and ensure compatibility with your software.


☐ Decide on the event format and duration.


☐ Choose a filming location with a good camera position and minimal distractions.


☐ Test the lighting at the time of day your event will take place.


Create an event listing with all necessary details, including streaming links and attendee requirements.


☐ Inform previous attendees about any insurance changes from in-person events.


☐ Open bookings and enable online payments.


Promote your event via social media, email, and other channels.


☐ Plan a rough script and structure, including any music.


☐ Secure music rights if needed.


☐ Do a full practice run using all equipment and software.

☐ Notify others in your household to minimise interruptions.


☐ Set devices to aeroplane mode (except those used for broadcasting).


☐ Ensure your camera is stable, level, and in landscape orientation.


☐ Start recording if you plan to save the event.


☐ Log in to your call/stream well in advance.


☐ Ask participants to mute themselves when not speaking (if applicable).


☐ (Optional) Ask attendees for feedback or direct them to a feedback form.


☐ (Optional) Allow time for attendees to socialise after the event. (Turn off recording if applicable.)


📌 Post-event

☐ Collect feedback via social media or email follow-ups.


☐ Review any issues and plan improvements for next time.


☐ Start preparing for your next event!
