Understanding special booking form fields

What is a Special field?

Special field data appears throughout your account (in bookings, reports, etc). Although you can amend the field title, you cannot amend the data type that you collect using these fields.

We currently have three types of special fields:

  • Attendee name

  • Attendee email

  • Child attendee (Is this attendee a child?)


An entry with Special fields

You can identify which fields are special within your entry setup by the "(Special field)" messaging next to each one.

Using the Attendee details special fields for bookings means you can view attendee names and email addresses under Attendee details:

You can also view their names and email addresses under the event they have booked:

Using special fields makes tracking your customers easier, as the system logs them as attendees instead of 'booking fields'.

For example, they automatically show in your attendance registers:

And within any reporting, such as a Bookings search:


An entry without Special fields

An entry setup without special fields will have the name of the field without the "(Special field)" indicator.

For example:

If a regular field was used to capture an attendee's details, the booking will state Name not given under Attendee details, however, you can view the booking form fields with their name and email address:

Secondly, '1 person' will appear under the event they have booked (as opposed to their name and email addresses):

It's a little more challenging to track your attendees, as they won't automatically appear in your register:

To view the customer name details, you'll need to edit your attendee list by selecting the pencil and paper πŸ“ icon in the top right-hand corner:

From here, select the fields you'd like to see on the register (in this case, 'Name' and 'Email'), then select Save changes:

The fields will then appear on the register, but they are un-clickable:

The names also won't appear from within your direct reporting, such as a Bookings search:

πŸ’‘ To note: they will appear in your exported CSV file searches alongside your other booking form field questions.


Summary

It's much simpler to set your entries up with Special fields, as it allows you to navigate the system more simply and effectively.
