When your business's ownership changes or someone else will manage your Bookwhen account, it’s important to complete the handover correctly. This ensures the new account holder has full access while maintaining your data and settings.
This article outlines the steps to successfully hand over your Bookwhen account to a new owner.
Steps to hand over your account
Temporarily take your public page offline
This prevents any bookings or payments during the transition period.Remove your payment options
For instance, you can remove any bank details from your 'Offline' term settings or disable your payment provider (Stripe, PayPal or WorldPay).
❗ Important notes related to membershipsYour membership setup will break if you switch to a different payment gateway from Stripe or connect a different Stripe account. Existing offers won’t sync to the new account, and neither you nor the new owner will be able to manage them.
If your account currently includes memberships, we recommend one of the following approaches before handing over access:
Option 1: Termination
Cancel all active memberships and remove the membership offers. The new owner can then create new offers, and customers can subscribe again.
Option 2: Migration
Copy the customer data to the new Stripe account and manually recreate the subscriptions. Once complete, contact us so our technical team can confirm the memberships are linked to the correct Stripe account.

Add the new owner as a team member
Open the Team page, add the new owner, and then remove your details. If you've reached the team member capacity for your plan, please contact support via live chat or email.Update contact, billing, and payment details
The new owner will need to update their contact details, billing details, and Stripe payment details.To update the Stripe Email Address:
The new admin should log in and update the card details.
After updating the card details, contact support to provide the new email address you'd like to use for Stripe.
We’ll update the email address in Stripe to reflect the new admin's details.
Export any data you'd like to retain
The new owner will have access to all your booking information, including customer details. Once you've removed yourself from the account, you can no longer access this data, so please ensure you export any necessary data beforehand.
