Creating an Early Bird / Advance Ticket

Give your customers a discount when they book your events quickly

Early bird tickets reward customers who book in advance. You can set these tickets to close at a specific time before the event starts, leaving a 'standard' ticket available at a higher price.

How to create an early bird ticket

To create an early bird ticket:

  1. Open your scheduling page and either add a new entry or select your existing entry, then Edit entry:

  2. Select the Tickets & Costs tab and select Create ticket:

  3. Complete the relevant ticket fields

    • In the Name or Description fields, you may want to indicate that this is an early bird offer, such as "Early bird ticket".

  4. Under Pricing, enter the discounted amount you expect to receive for the ticket. This does not account for any fees from your online payment provider if you are opting for online payment.

  5. Use the Restrict when this ticket is available to set when the ticket will be available for purchase and when it will close.

    • You can define this period relative to the event’s start (in days) or set a fixed date and time. 

Example

For example, if your event is in six months and you'd like to offer a discount to customers who book before the last two months, you can create two tickets:

  1. The first ticket: A standard ticket at full price with no time restriction.

  2. The second ticket: An early bird ticket at a discounted rate that closes 60 days before the event start date (approximately 2 months before):

  3. Both tickets will appear on the public page as available for purchase, with a short description below the early bird ticket informing customers of the restrictions:

    • You can also opt to restrict the standard ticket so it only appears once the early bird tickets are sold out.


Restricting the number of available tickets

It's a good idea to limit the number of early bird tickets available. For example, if your event has a capacity of 50, you might choose to offer only 20 early bird tickets to ensure the event doesn't sell out entirely with discounted tickets.

To do this:

  1. Open your scheduling page.

  2. Select your existing entry, then Edit entry:

  3. Select the Tickets & Costs tab.

  4. Open your ticket settings and add a number in the Number of tickets available field:

  5. The number you set in the Number of tickets available field restricts the number of purchases for that particular ticket type, regardless of your event capacity.

    For example:

    • If you have set your event to have a Maximum event size of 50, and you restrict the Number of tickets available to 20, only 20 of this particular ticket type will be available for purchase.
