You can cancel your Bookwhen subscription at any time with no extra charges, as payments are made upfront. Cancelling ensures you won’t be billed for future subscription periods.

This article explains how to pause or cancel your Bookwhen subscription and what happens when you do.

How to cancel your subscription

To cancel your subscription:

  1. Ensure you are on the account page you wish to cancel.

  2. Select Account, then Plans & Billing from the left-hand menu on your account.

What happens when you cancel your subscription

The Free Plan does not support pricing or payments, so all tickets show as free. Your account stays active until the end of your paid period, and your booking data and settings remain available.

  • You keep all paid features until this date.

  • The system won’t take any future payments.

  • After your paid period ends, your account will change to the Free Plan.

  • You can log in anytime to restart your subscription.

Your account stays dormant, keeping all booking data and settings. Unless you enable data retention settings or customers delete their accounts, booking and booker details remain accessible, and customers will no longer be charged for bookings once your subscription ends.

Your schedule stays the same, but since the default schedule only shows upcoming events, you may need to find past events later.

💡 Important:

  • Switching to the Free Plan won’t cancel active memberships. If you offer recurring membership payments, please cancel them before your account switches to avoid unintended charges.

Managing the transition from Bookwhen

Handling monthly subscriptions

For monthly subscriptions, make sure you cancel any active subscriptions to prevent future renewals and charges.

Ways to cancel subscriptions:

  • Customers can cancel their own subscriptions through the Customer Portal.

  • You can cancel subscriptions directly in Stripe to stop further charges without customer involvement.

Cancelling subscriptions in Stripe provides full control and avoids relying on customers to take action.

FAQs and additional tips 💡

What happens to existing subscriptions when moving to the Free plan

Existing subscriptions, including memberships and customer-managed plans, do not cancel automatically. Cancel them manually or move them to another platform to prevent renewals.

Using the same payment processor on a new system

If the new system supports Stripe, continue billing without requiring customers to re-subscribe.

Why unpublish your booking page on the Free plan

Unpublishing your page prevents unintended free bookings, which helps protect revenue and manage capacity accurately.
