Pausing an account

How to pause your account and retain your data for when you return

If you plan to return to Bookwhen in the future but need to take a break, you can pause your account to keep your data for reporting.

Pausing account

To pause your account, you will need to downgrade your account to the Free plan, created for free events and includes:

  • 50 bookings per month

  • 1 team member

  • 1 schedule page

To do this:

  1. Select Account, then Plans & Billing from the left-hand menu on your account.

  2. Scroll down and select the Switch to free plan button:

  3. Add a reason for cancelling and any additional details, then select Switch to free plan to confirm:

Switching to the Free plan cancels your paid subscription, but your account stays active. However, some features will no longer be available, including:

  • Payments & Discounts – You won't be able to take payments or list ticket prices.

  • Transfers

  • Passes

  • Waiting lists

  • Event reminders

  • File attachments

  • Zoom, Vimeo, and YouTube integrations

Please ensure you either unpublish your entries or take your entire public page offline to prevent any bookings from being made for free.

💡 Important notes about pausing your account:

  • Existing bookings will not be affected when you pause your plan.

  • Downgrading won't impact existing pages or team members, but you won’t be able to add new ones unless you edit or remove the current ones.

  • Pass holders can retain their valid passes, but keep in mind that sessions on the Free Plan are booked for free, which may make the pass unnecessary.


Re-subscribing

If you'd like to start your paid plan again:

  1. Select Account, then Plans & Billing from the left-hand menu on your account.

  2. Select Upgrade under the plan you'd like to join:

  3. Check that you have selected the correct plan at the top, then choose either the monthly or annual option.

  4. Add a Name on invoice and Billing address.

  5. If you have a valid discount code, select Apply discount code.

  6. Once ready to proceed, select Enter payment details:

  7. Add your card number, then select the Pay x + VAT box to confirm:
