When switching payment providers in Bookwhen, it's important to understand how this change will affect existing bookings and payments.

Impact on existing bookings

Switching your payment provider does not affect any purchases that have already been made.

Here’s why:

  • Passes: If a customer purchased a pass using your previous provider (e.g., you switched from PayPal to Stripe), the pass remains valid in their account. Future bookings using that pass will reference the pass itself, not the original payment method.

  • Tickets and Courses: Similarly, if someone purchases a ticket or enrols in a course, the transaction will still be marked as paid, and their booking status will not change.

💡 Important note: The memberships feature is only available when using Stripe as your payment provider. If you plan to switch to a different provider, we recommend informing all existing members that their current memberships will end. You can offer alternative options, such as passes or discounts, to maintain their engagement.


Accessing payment information

The View payment link within a booking directs you to the active payment gateway at the time of the original booking, not your current one.

This allows you to access details about older transactions even after switching providers.


Refunds

The key area to be mindful of when switching payment providers is refunds:

  • Refunds must be processed through the payment gateway that was active when the original payment was made.

  • Therefore, it's important to maintain access to your previous payment gateway account for a period of time after switching providers so you can handle any necessary refunds for past bookings.

  • Payments made prior to the switch will remain linked to the original gateway.
