This article covers:

Payment

Even if you’ve set Enforce online payment for the entry, we’ll always show you (the admin) the option to record an offline payment during checkout.

You can also opt not to record the payment if your customer hasn't paid yet and add a note regarding this under Additional information:

Checkout screen with the 'Offline payment' section highlighted

Otherwise, select Yes under Record payment now?, then the relevant payment method. For example, cash, cheque, transfer, card machine, online payment, other:

Ticket restrictions

You (the admin) can override the ticket restrictions set in the entry. While the restrictions will still appear on the public page, i.e. "Available between [date] and [date]", you can bypass them and proceed with the booking.

Waiting list

When new spaces become available on a fully booked event with a Waiting List, the system reserves those spaces until it contacts everyone on the list. However, you (the admin) can bypass this and book a ticket as soon as space becomes available.

Entering email information

The email information requirements differ for you (the admin) and your customers:

Main booking contact

You can use the Booking contact drop-down list to select a primary booking contact from your existing customers.

Once selected, you have 3 options:

  1. Select the Use selected button to confirm the booking contact you chose from the drop-down list.

  2. Select the Someone new button if the email doesn't appear in the list.

  3. Select Skip selection to skip the booking contact details entirely.

The customer view only shows the email address field:

Attendee information

You can use the Add attendee drop-down list to select an attendee from your existing customers.

Once selected, you have 3 options:

  1. Select the Use selected button to confirm the attendee you chose from the drop-down list.

  2. Select the Someone new button if the email doesn't appear in the list.

  3. Select the Skip attendee entry checkbox to skip the attendee details entirely.

The customer view only shows the name and address fields, with the option to Change attendee, as the email address cannot be edited on the Attendee details screen:

Booking form fields

You (the admin) can bypass mandatory booking fields set in the Booking form section of your entry:

Entry settings with the mandatory fields highlighted

Fields marked with an asterisk are mandatory, meaning the customer must complete them to make a booking. However, you (the admin) can proceed without entering additional information.

Event password

If you have set an event password for your event, you (the admin) can bypass this during checkout.

Customers cannot book the event without entering the correct password.

💡 To view your public pages exactly as your customers would, log out of your Bookwhen account or open the page in an incognito window.
