What is the Customer Portal

The Customer Portal is designed to help you easily access and manage all your bookings in one place. To use it, make sure you create an account when you make your booking.

πŸ’‘ Tip: If you have already made a booking but haven't created an account, you can request a password reset to action this at a later date.


How you can access the portal

You can access the portal in a few ways:

Booking confirmation email

You can access the portal directly through your booking confirmation email by selecting View booking within the email:

Logging in directly from your page

The login option is located in the top right-hand corner of your event organiser's page:

When selected, you can log in by filling out your email address and password before selecting Log in:

Logging in directly from Bookwhen's main marketing page

To log in via the main Bookwhen page:

  1. Select Log in in the top right-hand corner of the page:

  2. Select the Booker Account tab and enter your email address and password, then select Log in:

What you can do within the portal

The portal has four main sections: Events, Memberships, Passes and Vouchers.

Events

You can view your upcoming, cancelled and past bookings, as well as any waiting lists you've joined, by toggling between the options:

πŸ’‘ To note: The four categories will show results based on events. For courses, this means each date will be displayed individually, along with a "COURSE" tag. For example:

This is only to help keep track of attendance and doesn't offer the option to transfer or cancel individual dates from a course ticket.

Select the three-dot (...) menu next to your booking to view booking details and transfer/cancel your ticket (depending on your event organiser's T&Cs/settings):

Under the Waiting list tab, you can select the three-dot (...) menu to view the event details and the option to leave the list.

Memberships

If your event organiser offers a membership option and you have purchased one, you can use this section to manage your subscriptions by viewing your active and inactive memberships.

Select the three-dot (...) menu next to your membership to view your invoices, update card details and cancel your membership:

Passes

If your event organiser offers a pass option and you have purchased a pass, you can use this section to view your active and inactive pass details.

When you select the Details hyperlink next to a pass, you can view the details associated with the pass.

For example, the purchase date, how many uses the pass includes/how many uses you have remaining and what page/events the pass can be redeemed against:

Vouchers

If your event organiser offers vouchers and you have purchased at least, you can use this section to view your active and inactive voucher details.

When you select the Details hyperlink next to the voucher:

A screen will appear displaying the voucher code, when it was purchased, and any additional details provided by the event organiser.

Managing your account

To manage your account:

  1. Log in to your account and select the person icon πŸ‘€ in the top right-hand corner:

  2. Within your account, you can update your email address, change your password and delete your account:
